What is content freshness?
Content freshness is how recently a training module was regenerated against its source, and how far the two have diverged since. It is measured as the distance between the module and the current revision of the document it was derived from. A module can be well reviewed and out of date at the same time.
Why stale training is worse than no training
Training that teaches a superseded procedure does active harm, because it instructs people to do the wrong thing and leaves a record showing the organisation told them to. That is a worse position than having no module at all, where at least nobody was formally instructed. Freshness decays silently, since nothing in a learning platform announces that the underlying policy has changed. The control that matters is the link from the module back to the document, monitored rather than inspected annually.
- A module teaching a superseded procedure instructs people to do the wrong thing.
- Stale content creates a record of the organisation having taught the error.
- Decay is invisible without a monitored link from module to source revision.
- Regeneration cost determines how often an organisation can afford to be current.
How content freshness works
- Each module records the source document and the revision it was generated from.
- The document repository is watched for newly approved revisions.
- A revision change is compared against the module to locate the affected sections.
- Affected sections are regenerated and routed for review before republication.
- Learners who completed the superseded version are identified for reassignment.
How content freshness is evaluated
Freshness is measured as elapsed time and as divergence, which are different problems. Monitor the following for every published module:
- days between the source revision date and the module regeneration
- count of modules whose source has a newer approved revision
- proportion of source changes detected automatically
- learners holding a completion against a superseded revision
- time from a source change to republication and reassignment
Limitations, risks and common failure modes
- Policy owners revise documents without notifying the learning function at all.
- Minor and material revisions arrive through the same channel and are treated alike.
- Regeneration is deferred because review capacity is the actual constraint.
- Learners are reassigned without being told which part of the content changed.
