Exception queue

The work an automation could not complete, presented to a person with the reason attached.

What is an exception queue?

An exception queue holds the work an automation could not complete, presented to a person with the reason attached. It differs from a dead letter queue in audience, since the same failure is expressed as a business task rather than as a message awaiting diagnosis. The person sees what the automation attempted and what is now needed.

Why exception handling decides whether automation saves anything

The business case for a workflow agent assumes a completion rate, and the exceptions are where that assumption is tested. An exception presented without context costs more to resolve than the original manual task, because the person has to establish what the automation already did before deciding anything. Teams measure completion rate closely and exception handling time hardly at all. The second number is what determines whether the deployment saved effort.

  • Exception cost determines the real return on an automated workflow.
  • A person resolving an exception needs the state the automation left behind.
  • Recurring exception reasons describe exactly where the next improvement belongs.
  • An unattended queue converts an automated process into a hidden backlog.

How an exception queue works

  • A failure that cannot be retried is classified by reason and routed accordingly.
  • The queue item carries the task state alongside the steps already committed.
  • The person is shown what remains and which actions are available to them.
  • Resolution proceeds through the same recording path as an automated action.
  • Reason codes are aggregated so the commonest cause can be addressed upstream.
  • Queue age and volume are monitored against an agreed service level.

How an exception queue is evaluated

An exception queue is judged on the cost of resolving what lands in it. Measure the following per reason code:

  • volume of exceptions as a share of tasks attempted
  • median time for a person to resolve one exception
  • proportion of exceptions carrying the committed steps in their context
  • repeat rate of the same reason code month on month
  • age distribution of unresolved items

Limitations, risks and common failure modes

  • Exception volume is reported while the resolution effort goes unmeasured.
  • Items arrive with a technical error message that means nothing to the resolver.
  • Resolvers repeat work the automation already committed, which creates duplicates.
  • The queue is assigned to a team with no authority to complete the action.
